3. rights of data subjects

According to the General Data Protection Regulation (GDPR), you have the following rights:

  • You can request information as to whether and, if so, which of your personal data we process and receive further information related to the processing (Art. 15 GDPR). Please note that this right to information may be restricted or excluded in certain cases.
  • If incorrect personal data is processed, you have the right to rectification (Art. 16 GDPR).
  • If the legal requirements are met, you can request the erasure of your personal data or the restriction of its processing (Art. 17 and 18 GDPR). However, the right to erasure pursuant to Art. 17 (1) and (2) GDPR does not apply if, among other things, the processing of personal data is necessary for the performance of a task carried out in the public interest or in the exercise of official authority (Art. 17 (3) (b) GDPR).
  • If the processing is carried out for the performance of a public task (Art. 6 para. 1 letter e GDPR), you have the right to object to the processing of your data at any time if you have reasons for doing so that arise from your particular situation (Art. 21 para. 1 sentence 1 GDPR).
  • You also have the right to receive the personal data concerning you in a structured, commonly used and machine-readable format and to transmit those data to another controller without hindrance from us (Art. 20 GDPR).

If you make use of your rights, we will check whether the legal requirements are met.

Further restrictions, modifications and, where applicable, exclusions of the aforementioned rights may result from the General Data Protection Regulation or national legislation.

5. purposes of data processing

Your data will be processed in order to manage the research activities of the members of the Leibniz Institute for Food Systems Biology at the Technical University of Munich in accordance with the company agreement on the use of the PURE research information system.
In particular, the data processing serves the function-oriented collection, evaluation, use and publication of research information, personal and performance data in connection with your official activities with us.
Publication takes place primarily for external presentation, public relations work and the presentation of research activities.
For this purpose, the data may be used in our publicly accessible systems, e.g. on websites or in reports or to meet the requirements of third-party funding and grant providers.
As part of its monitoring function, the Works Council also has the right to obtain information on the reporting and evaluation options resulting from the IT systems and to view reports and evaluations based on the transmitted and processed personnel data.
The data is not processed for the monitoring and/or control of individual employees in the sense of behavior and/or performance control.

A Shibboleth service is used as a single sign-on for registration.

6. legal basis for data processing

Your data is processed on the basis Art. 6 para. 1 letter e GDPR, Art. 4 para. 1 BayDSG, Art. 2 para. 2, 7, 11 para. 3 sentence 6 BayHIG and on the basis of Art. 6 para. 1 letter b GDPR in conjunction with the company agreement.
If you are a guest lecturer, data processing is carried out on the basis of Art. 6 para. 1 letter a GDPR and on the basis of Art. 6 para. 1 letter e GDPR in conjunction with Art. 4 para. 1 BayDSG, Art. 2 para. 2, 7, 11 para. 3 sentence 6 BayHIG. Art. 4 para. 1 BayDSG, Art. 2 para. 2, 7, 11 para. 3 p. 6 BayHIG.

7. categories of personal data

We process the following categories of personal data in this context:

  • Master data (e.g. name, gender, nationality)
  • Contact details (e.g. e-mail, telephone number)
  • Information and metadata on publications (e.g. h-index, citations)
  • Activity-related information (e.g. secondary occupations, honorary posts, prizes and honors, data on third-party funded projects)
  • Database IDs (e.g. OrcidID, Scopus Author ID, GND)
  • Data and metadata relating to visits to the website (e.g. IP address, data from cookies, log data, control data, traffic data)

8. sources of personal data

The data is either entered directly by you, taken from the central directory service of the Technical University of Munich or entered by your working group editor. Data on research performance is taken from the Scopus, Web of Science, Funding Database and Data Monitor databases.

9. recipients or categories of recipients of the personal data

The data will be passed on to internal institute services, service providers and vicarious agents (e.g. technical service providers, hosting providers, disposal companies, service providers from other federations, service providers in the DFN-AAI) and consultants (e.g. tax or legal consultants). In particular, your data will be passed on to the operator of the research information system, Elsevier B.V., Radarweg 29, 1043 NX Amsterdam, Netherlands.
Our service providers, vicarious agents and consultants usually act as our processors in accordance with our instructions under an order processing contract pursuant to Art. 28 GDPR.

10. transfers of personal data to a third country or to an international organization

Your personal data is processed in a member state of the European Union, in another state party to the Agreement on the European Economic Area or in a third country with an adequacy decision. Any transfer of data processing to a third country without an adequacy decision requires the special conditions of Art. 44 et seq. GDPR.

11. right of revocation for consents

You can withdraw your consent in accordance with Art. 6 (1) (a) GDPR at any time. This will not result in any disadvantages for you. The revocation can be declared informally to the Leibniz Institute for Food Systems Biology at the Technical University of Munich. This does not affect the lawfulness of the processing carried out on the basis of your consent until revocation.

12. duration of the storage of personal data

The data is processed for the period required to achieve the purpose of processing or for as long as a legal obligation exists.
There is no standardized deletion period for research services. Research services provided by members of the Leibniz-Institute for Food Systems Biology at the Technical University of Munich remain valid on an ongoing basis. The public proof of research achievements is not limited in time.
IP addresses are anonymized after 37 months. Necessary cookies are deleted at the end of the session. Optional cookies are deleted after 37 months at the latest.

13. obligation to provide the data

You are legally obliged to provide us with your personal data. This obligation arises from Art. 11 para. 3 sentence 6 BayHIG. This does not restrict your rights as a data subject or your right to withdraw your consent in accordance with sections 3 and 11 of this information.
